A. About this Policy
Briefing note of article 13, Regulation (EU) 2016/679
This Privacy and Personal Data Protection Policy sets out the basic details regarding the relation of your personal data with the “Koumoulia” pottery workshop and school and the webpage koumoulia.gr (business tax-relevant data: Ioanna Zotou, Petrokefalo 70013 Heraklion Crete, VAT Reg. No. 124936600, Tax Office Ηeraklion), (hereinafter referred to as the “Enterprise“). This Policy applies to all services of the Enterprise and koumoulia.gr; the terms and conditions governing the use of these services are set out on the Terms and Conditions of Use page.
koumoulia.gr and the Enterprise shall be bound to protect the personal data of its visitors, users and clients and comply with the relevant provisions on the protection of personal data (L. 2472/1997 on the Protection of Individuals with regard to the Processing of Personal Data), as well as the General Data Protection Regulation EU 2016/679 (GDPR) as applicable.
In its capacity as Controller and in accordance with the above regulations and legislation, the Enterprise shall inform the natural person who is a visitor/user and/or client (hereinafter referred to as the “Client“, regardless of gender or capacity) that it or/and third parties, by order and on its behalf, shall process personal data relating to it in the context of a transactional relationship for products or services of koumoulia.gr and the Enterprise.
The scope of this Policy is to:
- Ensure that it is clear what personal data koumoulia.gr collects, the reasons for using it and who has access to it.
- Explain how the Enterprise uses the personal data provided by the clients/visitors of koumoulia.gr.
- Explain the rights and choices of visitors/clients of koumoulia.gr with respect to the personal data collected.
- Explain how privacy and security of visitors/clients of koumoulia.gr are protected.

Alternatively, if the Client, User or Visitor does not agree with the content of this Policy, they may not use the services of koumoulia.gr and the Enterprise or visit its websites. Acceptance and compliance with the Terms and Conditions of Use is mandatory for the use of any service of koumoulia.gr and the Enterprise.
B. Collection and Use of Personal Data
As detailed below, the Enterprise shall not disclose, publicize, sell, exchange the personal data of visitors/users of the website and their transactions, unless authorized by them (consent) or where, in good faith, it believes that access, use, retention or disclosure of such data shall be reasonably required to (a) provide the services and/or fulfill the contracts or claims requested by the Client, (b) comply with applicable laws, regulations, legal procedures or requirements of public authorities or courts of law, (c) apply the current terms of use, including looking into a possible breach of these terms, (d) detect, prevent or otherwise deal with fraud, security or technical issues, (e) protect rights, ownership or security of the Enterprise, users or the public as required or permitted by law.
More specifically, the collection and use of personal data by koumoulia.gr shall apply in the following cases:

The data shall be collected and used to identify the Client and contact them in any transactional, pre-contractual or contractual relationship with them (e.g. for placing an order or dispatching products) and/or to fulfill contractual and/or legal obligations of the Enterprise (e.g. issue of sales invoices). |
2. Contact data
What data shall we collect? |
Contact data: postal and email addresses, landline or mobile phones and/or social media (e.g. Facebook, Messenger, Viber etc.). |
Where shall we collect it? |
Contact data shall be voluntarily provided by the Client or the person acting on their behalf, or by payment service providers (Banks, Paypal), or Couriers (DHL, ELTA Courier, TNT, ACS, etc.), and/or publicly accessible sources, including social networking sites. |
Why is it collected and how shall it be used? |
The data shall be collected and used to contact the Client in order to sell and deliver the Enterprise’s products, provide advice and market suggestions and contact them in any transactional, pre-contractual or contractual relationship with them and/or fulfill contractual and/or legal obligations of the Enterprise. |
3. Service, sales and service history data
What data shall we collect? |
Service, sales and service history data: includes identification and contact data (as above), shipping and billing addresses per order, payment methods, date, time and place of order and/or contact, messages and notifications from/to Client regarding the order or service, description of products or services, quantities, pricing and changes to each order, and history of previous services/ orders. |

Data shall be voluntarily entered by the Client when they place an order on the website of koumoulia.gr or when they contact the staff or business partners (by telephone, email, message, etc.). |
Why is it collected and how shall it be used? |
Data shall be collected and used to perform services, orders and contracts requested by the Client, to support, promote and execute the business relationship with them and/or provide services to them. This data is also necessary for the Enterprise in order to comply with the obligations imposed by the applicable legal and regulatory framework and supervisory requirements, as well as with the decisions of authorities or courts. Order history data shall be collected to facilitate easy re-ordering of products by the Client, as well as to make the Enterprise aware of whether and when differentiated services may be provided to the Client (e.g. recognition awards to frequent Clients or to those who purchase specific products that may be on offer, etc.). |
4. Certification and payment verification data
What data shall we collect? |
Certification and payment verification data: in addition to identification, contact and sales or service data (as above), it includes the data provided by the payment provider service (e.g. Bank or Paypal) to koumoulia.gr, depending on the payment method selected. For example, when payment is made by credit card, a part of the card number (not all of it), expiry date, email address, date, time, and IP address where the payment or refund was made from shall be provided. Paypal shall provide the email of the account where the payment was made, as well as the name and address of the account holder. For Cash On Delivery, contact details of the Client shall be provided, as well as whether/when the payment transaction is completed. |

Certification and payment verification data shall be collected and provided at the behest of the Client by payment service providers, such as Banks (e.g. Alpha Bank, Piraeus Bank and National Bank that undertake the clearing of credit/debit card payments and certify deposits or remittances to Enterprise accounts), as well as online payment service providers (e.g. Paypal) that clear and certify payments to the Enterprise. For Cash On Delivery payments, data shall be provided by the competent Courier service (e.g. DHL, ELTA Courier, TNT, ACS etc.). |

This data shall be collected to certify and audit payments, as well as to detect fraud or other malicious and/or illegal transactions related to Enterprise transactions (payments, refunds, etc.). This data is also necessary for the Enterprise in order to comply with the obligations imposed by the applicable legal and regulatory framework and supervisory requirements, as well as with the decisions of authorities or courts. |
5. Data and information about Client/Visitor interactions with business services or staff
What data shall we collect? |
Data and information exchanged during Client/Visitor interactions with the services and/or staff of koumoulia.gr, which may include personal data in their content. The content of any entries, messages or contact, sources, recipients, as well as date/time of submission, sent by email, or posted on the Enterprise websites (e.g. through contact forms, comments, gift messages, ratings, etc.), or made by telephone, or made available on third-party sites or online applications or services (e.g. social media) may be collected and may include: Information related to identifying the Client or the recipient in order to process their request. Information on health or beauty issues of the Client, recipients or users of the products, or on changes or updates regarding an order or products, or the delivery/receipt of the order. Information on various requests, tips, comments, evaluations, suggestions, complaints, suggestions, questions or other information (e.g. information on product, shipping, or delivery, etc.) concerning services, products, transactions, promotions and/or Enterprise staff. Comments, ratings, recommendations or general information about the website, products or services of the Enterprise. Data and photos or other means regarding services or products and/or their status during shipping and delivery (e.g. to identify defective products or any damage that may have occurred during shipping). Data of phone conversations with the Client, which can be recorded in accordance with the requirements of the legislative framework. The above information or data may be in any digital format or file (e.g. texts, images, videos, audio, executable/ compressed files, etc.). |

Data shall be voluntarily provided by the Client when they register or process an order on the website of koumoulia.gr or when they contact the staff of the Enterprise (by telephone, email, message etc.), as well as by the associated Courier services (e.g. DHL, ELTA Courier, TNT, ACS) that are responsible for the delivery of orders. Also some data regarding the products and their use may be collected by the manufacturers of the products. Finally, some data shall be provided by the Client through third-party services used to control and/or improve business services (e.g. E-satisfaction, Skroutz ratings, Bestprice.gr, Google Maps-MyBusiness, etc.). |
Why is it collected and how shall it be used? |
This data shall be collected to process the Client’s requests, fulfill and improve the services of koumoulia.gr, as well as to confirm the Client’s proper conduct in order to provide them with differentiated services (e.g. recognition awards). This data is also necessary for the protection of the rights and legitimate interests of the Enterprise, as well as its personnel and property, such as, for example, ensuring security procedures of the Enterprise, preventing crime, detecting and collecting evidence of unlawful contact (incidents of fraud, etc.) or other illegal or malicious acts regarding the Enterprise. |
6. Personal data deriving from photo shots and videos taken in the context of activities of the “Koumoulia” pottery school
What data shall we collect? |
Photo shots or videos taken from actions by the Koumoulia pottery school (lessons, events and educational programs), in which the client participates, as receiver of the services, or as visitor, and they have been taken in his/her knowledge by visible means and after his/her prior consent in writing. If they involve minors, the consent has been given by his/her parental custodians. The above or data may be in any digital format or file (e.g. texts, images, videos, audio, executable/ compressed files, etc.) |
Where shall we collect it? |
The data are collected in the context of actions of the Enterprise, in which the natural person participates, as client, visitor aor personnel and after his/her prior consent in writing or his/her her parental custodians, if he/she is a minor.

Why is it collected and how shall it be used? |
The above data are collected and used for the promotion of the actions of the pottery school of the Enterprise towards the public and may be used in the promotion/advertisement material of any kind, in the webpage koumoulia.gr and in social webpages. In those there is no reference in the names of the natural persons or in other distinctive marks identifying their identity. From the photos or videos taken by minors, their face identifying elements are erased. |
7. Data regarding access to or use of koumoulia.gr websites
What data shall we collect? |
Data regarding access to or use of koumoulia.gr websites and may include for each access or use: the IP address, the type of network connection (eg Wi-Fi, 3G) and the provider or the e-route from the server, data provided by the browser and the user/visitor computer (such as the unique device identifier, the device features, the type of web browser, the operating system of the device, languages the browser accepts, or other data provided through the devices used by the Client as location information), as well as Internet browsing data (cookies/ session ID). This data is anonymous usage and traffic statistics, yet individually or in combination with actions and/or unique identifiers of the Client can be used to identify and create the Client’s profile. |
Where shall we collect it? |
Data regarding access to or use of koumoulia.gr website shall be collected from the Enterprise servers, or computers used by the staff and the partners of koumoulia.gr, and/or from devices or applications used by the Visitor/Client, or from online service providers (e.g. Google, Cloudflare, Facebook), and/or from publicly accessible sources, including social networks and search engines. |
Why is it collected and how shall it be used? |
Data regarding access or use are necessary for the protection of the rights and legitimate interests of the Enterprise, as well as its personnel and property, such as, for example, ensuring security procedures of the Enterprise, preventing crime, detecting and collecting evidence of unlawful contact (incidents of fraud, data leakage etc.) or other illegal or malicious acts regarding the Enterprise. Anonymous usage and traffic statistics can be used to customize and improve its websites and services, deal with fraud, security or technical issues and possibly adjust discount policy, sales procedures, advertising and/or promotion of koumoulia.gr. |
8. Data necessary for the delivery or return of products to/from the Client
What data shall we collect? |
Data necessary for the delivery or return of products to/ from the Client by the Courier services and may include identification data or information or documents from/to the Customs or Tax Authorities of Greece or any other country. |
Where shall we collect it? |
Data shall be provided by the Client when they contact the staff of the Enterprise (by telephone, email, message etc.), as well as by the associated Courier services (e.g. DHL, ELTA Courier, TNT, ACS) that are responsible for the delivery of orders. |
Why is it collected and how shall it be used? |
Data shall be used to perform services, orders and contracts requested by the Client, to support, promote and execute the business relationship with them and/or provide services to them. This data is also necessary for the Enterprise in order to comply with the obligations imposed by the applicable legal and regulatory framework and supervisory requirements, as well as with the decisions of authorities or courts. |
8. Data regarding promotions to the Client
What data shall we collect? |
Data regarding promotions to the Client: this is contact data (email addresses, telephones or even postal addresses) that can be combined with existing Client identification, contact and sales history data. When registering with koumoulia.gr services, visitors/ clients have the option, if they so wish, to request information on products and offers of the online store (e-shop). Should the Client not give his consent, contact for promotional purposes shall not be made or shall be discontinued. |
Where shall we collect it? |
This data shall be provided by the Client (with his consent) or through social networks that have an advertising profile of the Client. The combined data of identification, contact and sales history of the Client shall be provided from the sources listed above. |
Why is it collected and how shall it be used? |
Promotional data shall be collected with the Client’s consent and shall be used: (1) to promote products and services of the Enterprise, and/or its affiliated companies, through offers, messages and awareness-building actions to the Client· (2) in conjunction with identification, contact and sales history data to create customized Client-specific offers. Should the Client not provide or withdraw his consent (at any time), contact them for promotional purposes shall be discontinued. This can be achieved through the relevant links in the newsletters or by visiting the contact form of koumoulia.gr, where they can state their wish. |
C. Who has access to the personal data collected?
- The staff and partners of koumoulia.gr have access to all the above data, which they shall process and use for the purposes set forth in each data category above.
- Business Partners providing hardware and/or software support services, as well as e-shop and website management services (including Ultraweb4u, Lavipharm, etc.) may access a subset of the above data via the access to software and websites, but are committed to the confidentiality of such data to the Enterprise and are permitted to process and use it solely for the purposes mentioned in any data category above.
- Cooperating Courier Services (e.g. DHL, ELTA Courier, TNT, ACS) that are responsible for each order delivery have access to (1) Client’s registration and identification data, (3) service, sales and service history data, and (7) data necessary for the delivery or return of the products to/from the Client, for the shipment of orders pertaining to each one, in order to carry out dispatch and delivery of the order to the Client. They may also have partial access to data (5) exchanged during Client/Visitor interactions with services and/or the staff of koumoulia.gr, should this be deemed necessary for the delivery of each dispatch undertaken.
- Services used for contacting the Client (e.g. sending messages and SMS, making phone calls), such as email providers (Google, Sendgrid, Sendinblue, Mailchimp), SMS providers, telephony service providers (Hellenic Telecommunications Organization [ΟΤΕ], Forthnet, Vodafone, Yuboto, Viva) and social media/messaging services (Google, Facebook, Instagram, Twitter, Whatsup, Viber, etc.), through which koumoulia.gr interacts with the Client, may access a subset of the above data (1 – 8), provided that the content of the messages to the Client may contain some of this data. A prerequisite for such an access shall be a confidentiality commitment by the communication providers for messages and contacts transmitted through their network, in accordance with the relevant legislation.
- Payment providers (Banks, Paypal, etc.) which have been selected by the Client for payment of services to the Enterprise shall have access to (1) Client’s registration and identification data, (2) contact data, (3) service, sales and service history data, (4) certification and payment verification, as well as partial access to some data (5) exchanged during Client/Visitor interactions with the services and/or staff of koumoulia.gr, should it be necessary in order to certify and audit payments, as well as to detect fraud or other malicious and/or illegal transactions related to Enterprise transactions (payments, refunds, etc.).
- Services used to control and/or improve Enterprise services (e.g. E-satisfaction, Skroutz, Bestprice.gr, Google Maps etc.) shall have access to a subset of the contact data exchanged during Client/Visitor interactions with the services and/or staff of koumoulia.gr.
- Data regarding access or use of the server and website of koumoulia.gr shall be accessed by the staff and partners of koumoulia.gr. Anonymous usage and traffic statistics are owned by koumoulia.gr and are maintained on its servers or possibly a third-party affiliate analytics provider (Google analytics, Cloudflare, Facebook, etc.) which have ensured confidentiality of this data. Koumoulia.gr shall provide its suppliers or affiliate persons of businesses with the above anonymous statistics, as well as sales statistics, which, however, shall not contain any personal data that may lead to the identification of individuals.
- The photo shots /videos from actions of the Enterprise may be transmitted to the public through the promotion / advertisement material that is issued in any form (paper or digital) and through the web and the social webpages.
D. Is data transmitted to non-EU countries (third countries) or to an international organization?
The Enterprise may transmit its Client’s personal data to non-EU countries (third countries) in the following cases:
- Where the European Commission has adopted an act to adequately protect personal data in the said country or in the said international organization (e.g. Switzerland, USA – Privacy Shield etc.).
- Where the Client has been specifically informed, have given their express consent to the Enterprise and the other requirements of the legal framework are met.
- Where transmit is necessary for the execution of a contract, such as where transmit is required for the execution of payment orders in a bank account of a credit institution of a third country, or where transmit has to be made to execute a transaction payment order.
- Where transmit is deemed vital for the establishment, exercise or defense of legal claims or the defense of Enterprise rights.
- Where required by law or transnational or international convention.
E. Third Party Links and Content
Koumoulia.gr may display ads from third parties and other content with links to third party websites. The Enterprise cannot control or be held responsible for the privacy practices and content of third parties. Should the Client/User click on a third party ad or link, they must be aware that they shall leave koumoulia.gr websites and any personal data they provide shall not be covered by this Policy. In such case, they must read the privacy policies of third parties to learn how their personal data is collected and processed.
F. How long shall the data be kept?
The Client’s personal data described above shall be kept for as long as required for the Enterprise to provide its services, as well as for legitimate and substantive Enterprise purposes, such as maintaining the service performance of koumoulia.gr, operating business decision making, protecting the staff and the property of the Enterprise, complying with our legal obligations, and resolving disputes. This period shall not exceed eight (8) years from the date of data collection unless the data specifically relates to the following cases:
- The Client’s account registration and identification data, contact data, service and service history data shall be retained for as long as the Client maintains an account at koumoulia.gr.
- The Client’s identification data, contact data, service data, service history data and certification and payment verification data shall be retained for legal, tax, audit and accounting purposes for the period required by applicable law, not less than five (5) years from its collection. Should shorter or longer data retention times be provided by law or regulation, the above data retention time shall be reduced or increased accordingly.
- Should there be any unsolved problems regarding the Client’s account or any outstanding commitments in the contractual or transactional relation to it, the Enterprise shall retain the required data until the problem or the pending issue is resolved.
- If necessary for the protection of the rights and legitimate interests of the Enterprise, as well as its personnel and property, such as, for example, ensuring security procedures of the Enterprise, preventing crime, detecting and collecting evidence of unlawful contact (incidents of fraud, etc.) or other illegal or malicious acts regarding the Enterprise, data may be retained for more than eight (8) years.
- Anonymous usage and traffic statistics that do not contain Clients’ personal data may be retained for as long as deemed necessary for legitimate and substantive business purposes, such as adapting and improving the websites and services of koumoulia.gr.
G. Client / User Rights and Options for Personal Data
EU Regulation known as the General Data Protection Regulation (GDPR) gives citizens certain rights with regard to their personal data. In accordance with the provisions of this law, koumoulia.gr provides its Clients/Users with the opportunity to exercise the following rights:
- Right of Access – the Client has the right to know about their stored personal data and the way it is processed by the Enterprise, as well as its origin.
- Right to rectification – the Client has the right to request rectification or update of their data, if inaccurate or incomplete.
- Right to limitation of processing – The Client has the right to request the limitation of the processing of their data.
- Right to erasure – The Client has the right to request erasure of their personal data.
- Right to object – The Client has the right to object to data processing for purposes of direct marketing and/or promotion of products or services.

The Enterprise shall make every effort to respond to the Client within thirty (30) days after the submission of their request, yet it may be extended for a further sixty (60) days if required by the Enterprise, taking into account the complexity and the number of requests. The Enterprise shall inform the Client in any event of an extension of the thirty (30) days, as well as the reasons for such an extension.
Should the Enterprise fail to act on the Client’s request, it shall notify them of the reasons for such a refusal and of the possibility of filing a complaint and bringing a legal action without delay and within thirty (30) days of the receipt of the request.
The above service shall be provided free of charge. However, the Enterprise shall reserve the right to either impose a reasonable fee to the Client, after informing them about it, or not accede to their request in the event it is regarded to be clearly unfounded, excessive or recurring.
Important notes regarding the exercise of rights:

- Fulfilling requests for limitation of processing, erasure and object, provided that they pertain to data necessary for the performance of the services of koumoulia.gr or the continuation and operation of the contract with the Enterprise, whether provided by the Client or obtained from another source, shall entail the automatic termination of the respective contract or contracts on behalf of the Client, subject to their respective terms or the unfeasibility of examining the subject’s request.
- In any case, the Enterprise has the right to refuse the request to limit the processing or erase the Client’s data if the processing or retention of data is deemed vital for the establishment, exercise or defense of legal claims, legal rights or compliance with its legal obligations, as stated in the answers above “ Why is it collected and how shall it be used?”.
- The exercise of the above rights shall be valid for the future and does not apply to data processing already performed.
- The Client reserves the right to file a complaint with the Data Protection Authority (www.dpa.gr), which is the competent supervisory authority for the protection of the fundamental rights and freedoms of natural persons with regard to the processing of their personal data if they believe that their rights are being infringed in any way.
H. Client / User Obligations
The disclosure of personal data by Users of koumoulia.gr or Clients of the Enterprise constitutes acceptance of the terms of use of such data in accordance with this Policy. In case the user does not consent to the abovementioned use of their personal data, they should not use the services of the Enterprise, neither visit its websites nor provide data or information to the Enterprise.
The Client / User accepts and agrees that any data or information submitted to the Enterprise is complete, correct, true, accurate and valid and that, in case of any changes, they shall inform the Enterprise so that such data is kept complete, correct, true, accurate and valid.
The Client/User must take certain personal security measures, such as the password the user provides when joining koumoulia.gr. For security reasons, koumoulia.gr recommends that users regularly change their password, avoid using the same and easily detectable passwords, and not disclose their password to third parties.
Registered members of koumoulia.gr shall be held solely responsible for all transactions carried out under their personal password, username and account in general, and they are moreover required to immediately notify koumoulia.gr, if aware of any unauthorized use of their account or any possible security breach. Members shall also be solely responsible for the careful use of their account and their respective account logout procedure at the end of each visit. Koumoulia.gr shall not be held responsible for any loss or damage resulting from the inability of users to respect and follow the above clause. Finally, as third parties may be able to read messages sent by users online, it is recommended that users not send information that they wish to keep confidential by email or through other insecure communication channels.
I. Cookies
Like most sites on the internet, koumoulia.gr uses cookies to access certain information whenever the visitor/user browses the e-shop with a web browser. Without the use of cookies it would be impossible for koumoulia.gr to provide important services such as: user account login, order status and history, personal settings, storage of items in the shopping cart.
Cookies are small text files stored on the visitor’s/user’s computer over the Internet to provide services such as those mentioned above. Cookies do not harm users’ computers or the files stored on them. In browser settings, the visitor/user may choose to prevent the browser from accepting new cookies or asking each time a new cookie is to be installed on their hard disk. However, the visitor/user should be aware that if they choose to prevent cookies from being stored on the hard disc, they shall not be able to use some services of koumoulia.gr.
Note: Third parties, advertisers or advertising servers may place or recognize unique cookies in the browser of the Clients/Users. The use of cookies by such third-party advertisers or advertising servers is not subject to this Policy, but to the respective Privacy Policies of such third parties.
J. Enterprise Security through the webpage koumoulia.gr and Privacy Policy
The Enterprise through its webpage Koumoulia.gr is committed to protecting the information of its users and makes every reasonable effort to safeguard their personal data by using the most up-to-date and advanced technological methods and in compliance with strict security measures, which, at the discretion of the Enterprise, may change or be amended. Users should, however, keep in mind that no system is ever completely secure, and that sending confidential information through SMS or email services is not secure, as it involves the risk of unauthorized third parties reading this information.
To ensure the protection of users’ personal data, koumoulia.gr applies security policies and practices, including the following:
- Encryption technology for sensitive data transmitted over the Internet from servers to the user’s computer, as well as digital certification technology for web addresses used by the Online Store (e-shop).
